Sample Letter

Dear Ms./Mr. (applicant name)

I am writing to offer you a position as a graduate assistant in (department name)at the University of Arkansas. This is a 12 month, 50% position with a monthly salary of $ (12mo salary divided by 12=monthly amount). This position includes a tuition waiver and you will be responsible for all mandatory fees. In-state tuition (not including fees) will be paid and nonresident tuition will be waived. As an additional benefit to students on assistantships, the University of Arkansas pays a portion of student health insurance, if the student meets eligibility requirements. Students are responsible for the remainder of the premium. Miscellaneous fees and insurance premiums may be payroll-deducted.

Dates of Appointment: Example: January 1, 2019 to December 31st, 2019. Students are expected to be available for work for all twelve months including breaks during the semester, unless the University is closed for specific holidays. However, the dates that the student is expected to work between semesters and on weekends should be clearly spelled out in the offer letter and/or the Graduate Assistant Agreement and Acceptance form.

Description of Duties: (written description)

Work Schedule: Your 50% assistantship requires that you work twenty hours per week. Hours may not be averaged from week to week.

Evaluation: Evaluation of your work will be conducted by your supervisor. Criteria for your evaluation will be set by your supervisor, but failure to perform these duties adequately may result in the termination of your assistantship at the end of any semester. You will be warned in writing of the possibility of termination. In addition, graduate assistants may be terminated from their positions because of being placed on academic warning or failure to earn a minimum number of graduate-level credits, per Graduate School rules.

Background Checks:Before an offer is final, graduate assistants must be submitted to the University of Arkansas Human Resources Background System check process to be cleared by the national criminal and sex offender registry. Please be very clear to students that an adverse background check may result in termination of the GA and reimbursement of the tuition.

Addendum to Assistantship Letter of Offer

Graduate School Requirements

  1. All graduate assistants are required to earn a minimum number of graduate level credits and are limited to a maximum number of graduate level credits each semester and/or summer sessions on appointment. Any enrollment over fifteen (15) hours must be approved by the Graduate Dean.
    • For Fall/Spring Semesters, if the appointment is 50 percent, the student must earn a minimum of six (6) credits per semester.
    • For Summer Sessions, all graduate assistants on 12-month appointment will receive maximum tuition reimbursement for eight (8) hours if the contract extends over the entire summer session (10-12 weeks); students must be enrolled in a minimum of three (3) hours during the summer.
  2. All graduate assistants on a 50 percent appointment will have tuition paid as part of the graduate assistant contract. (This does not include late registration or miscellaneous fees.)
  3. International graduate assistants cannot have greater than a 50 percent appointment without prior written authorization from the Office of International Students and Scholars.
  4. All graduate assistants must earn at least a 2.85 grade point average on all courses taken for graduate credit each semester of appointment.

Important Notice from the Graduate School

If a graduate assistant in any way breaks this contract by withdrawing from the University, by dropping below the minimum required registration credits, or by, in any other ways, not satisfactorily meeting the requirements of the appointment, that person will be required to reimburse the University on a pro rata basis for all tuition and fees paid for him or her for that semester.
